AI Tools and Organizational Scale: A Few Observations on Changes in Efficiency

AI tools have reduced the dependence of enterprise operations on human labor, and have also made it possible for small teams to accomplish big things. This article discusses the impact of such changes on corporate organizations and individuals.

After AI tools became widespread, one obvious change is this: the same task requires fewer collaborators. Work that used to be divided among several people can now, with the help of tools, be advanced by one or two people. Companies' reliance on manpower in their operations is declining, and this raises new questions for organizational forms and for the individuals within them.

The possibilities for small teams have grown

AI has made many steps that once required dedicated staff automatable: organizing materials, drafting initial versions, aggregating data, giving preliminary responses. These tasks used to take up dedicated manpower; now they can be handled by tools. As a result, the scope of business a small team can take on has expanded markedly, and the barrier to starting a business has fallen accordingly. Companies can launch with lower fixed costs and direct more resources toward areas that tools cannot easily replace, such as judgment and decision-making.

But this change does not mean that "people have become unimportant." What tools amplify is capability, and the premise is that the person using them knows what they want. If the direction is wrong, tools will only make the mistake happen faster.

The way people collaborate changes accordingly

When machines take on the standardized parts, people's roles concentrate at the two ends: at one end, setting goals and judging priorities; at the other, handling matters that require experience and dealing with people. The repetitive execution steps in between are compressed. This requires everyone on the team to be able to use tools to solve their own problems, rather than waiting for others to provide finished products. Being able to use tools and judge whether their output is reliable is becoming a basic literacy.

A reminder for individuals

In the face of this change, rather than worrying about being replaced by tools, it is better to focus on whether you are in a position that "tools cannot replace." What can be replaced by tools is usually work with clear processes and verifiable results; what is not easily replaced is work that requires judgment, an understanding of specific circumstances, and responsibility. For individuals, the direction is not to compete with tools over who does things faster, but to treat tools as a lever that extends your abilities and to put your energy into judgment, communication, and creation. The opportunities brought by changes in efficiency belong to those who can command tools and know what to use them for.
